Instructions for adding an Event

There are 3 sections to the event listing: Event information, Venue information and Organizer Information. It is critically important that you enter the location for your event in the VENUE section of the form. If you do not enter the location of your event in the Venue section of the form, the event will not show up in the calendar and will not be included in any of our promotional emails. Before you start:

1. Is your event a recurring event or a single event?  If it is a recurring event, does it happen on the same date (i.e. the 15th of every month) or on the same day (i.e. the second Saturday of every month)?

2. Does your event take place in one location or in multiple locations? If you have an event that moves around and takes place in different locations, you must list the event separately for each location.

3. What time zone is your event in? If you don’t enter a time zone the system will assume you’re in the Eastern time zone of the US and your attendees will show up at the wrong time.

After you have reviewed the information below you can hit the continue button at the bottom of this page to enter your events.

Event Information

Event Name

This is the name of your event. Please enter this in upper and lower case and not ALL CAPITAL LETTERS.

Venue Name

Required

This is the venue where your event is being held. You will have to select this from a searchable drop down list, and if your venue name isn’t listed, you’ll be required to add it.

Organizer Name

Required

This is the name of your event’s organizer. If the organizer’s name isn’t listed in the dropdown, you’ll be required to add it. (Instructions below.)

This is the State where your event is being held.  You MUST select a state or the event will not appear in the calendar. 

Event Tag

This is the type of event you’re entering. There is a dropdown list of categories available, and you may put your event in each of the categories that are applicable.  If the category you’re looking for is NOT listed, please contact support@carsandcoffeeevents.com and we’ll see what we can do about adding it.

Event Photo

While you don’t have to include a photo with your listing, we recommend that you do. People just respond better to visuals than they do to text. Should you decide to add a photo it is CRITICAL that you pay attention to the file size and image dimensions below. Photos that fall outside of these guidelines will not be accepted:

Width: 1200 pixels / Height: 675 pixels (16:9 aspect ratio)
Image Size: No more than 120KB

Event Description

Add as much or as little text as you want.  If you create your description in Word or Google Docs, you may copy and paste it but please remember to paste it in as plain text. You can apply your formatting after you’ve pasted it in. If you paste it with the formatting included it may not display correctly on our system.

Venue Information (required)

This must be filled out. Every week, more events are being added, and that means new venues are being added.  Check to see if your event’s location is already listed and if not, you must create your event’s location. Without a venue location, the maps function won’t work, but more important, your event won’t show up in the list of events.

This should be the name of the location where your event is being held. If it’s in a parking lot, please use the name of the business or the shopping center

Venue Address

This should be the street address of the location. It is required in order for the Google Maps function to work correctly.

This should be the city where the venue is located. It is required in order for the Google Maps function to work correctly.

Venue State

Required

This should be the state where the venue is located. It is required in order for the Google Maps function to work correctly. You must use the correct 2-letter abbreviation for your state.

Venue Zip

This should be the zip / postal code where the venue is located. It is required in order for the Google Maps function to work correctly.

Venue Country

Required

This should be the country where the venue is located. It is required in order for the Google Maps function to work correctly. We currently support only US and Canadian locations.

Organizer Information (required)

This must be filled out. If you’d like to be able to log back in and see a list of the events you’re running or have added, you must include this information.  Also, if you’d like potential attendees or participants to be able to contact you, you’ll need to fill out one ore more of the optional values below
